This Privacy Policy describes the policies and procedures regarding collection, use and storage of information that you provide to us, primarily as members of the International Association of Engineering Geology and the Environment (IAEG), when you use (visit) our website. Also, it provides the opportunity for you to get informed about your rights and obligations regarding all of this.

The website https://iaeg.info is the only official website of IAEG – International Association of Engineering Geology and the Environment. Our primary commitment is to uphold the purposes of the Association, as they are described in our constitution.

Definitions

Personal data: Your personal data includes any information in paper or electronic media that can lead, either directly or in combination with others, to your unique identification or identification as an individual. On our website, as a controller is considered “IAEG – International Association of Engineering Geology and the Environment” or for short it will be referred to as “Association”.

Processor: is an individual or legal entity, public authority, agency or other entity that processes personal data on behalf of the controller.

Processing: any operation or series of operations carried out with or without the use of automated means, on personal data or sets of personal data, such as collection, registration, organization, structuring, storage, adaptation or alteration; retrieval, information retrieval, use, disclosure by transmission, dissemination or any other form of disposal, association or combination, restriction,
deletion or destruction.

Member Account: means a unique account created for you, in order to have access to Systems, offered by our website, or part of
these Systems.

Members area: Those of the Association members, who have an account on our website, have the possibility to participate in the special area of the website called “members area”. Therein, their name, job title, and contact information will be available to members who enter this field. Below we will refer to this in detail. Cookies are small files placed on your computer, mobile device or any other device by a website that contain the details of your browsing history on that website among its many uses.

The Association, as a data controller, strictly adheres to data protection principles

1) Legality, Objectivity and Transparency
The Association processes personal data legally, objectively and transparently towards the data subjects.

Personal data is collected only for specific, explicit and legitimate purposes and is not processed for any other purpose.

3) Data minimization
The Association maintains the accurate personal data of the data subjects and ensures that their compliance is limited to what is necessary in relation to the processing purposes. At the same time, it applies the appropriate technical measures in order to achieve the above objectives.

4) Accuracy
Personal data is accurate and up to date. Actions are taken to ensure that personal data that are inaccurate, in relation to the purposes for which they are processed, are deleted or corrected in a reasonable time.

5) Limitation of the Storage Period
Personal data is kept for a time no longer than is necessary for the purposes for which the Association processes it.

6) Integrity and confidentiality
Taking into account the technological level and other available security measures, the cost of implementation, as well as the likelihood and severity of risks to personal data, the Association uses appropriate technical or organizational measures for the processing of Personal Data, in a way that guarantees appropriate security of personal data and their protection against accidental destruction, loss, damage, unauthorized or illegal processing.

7) Accountability
The Association bears the responsibility and is able to demonstrate compliance with the General Data Protection
Regulation.

For what reasons do we use members’ personal data?

1) We use your personal data in general to provide and improve the purposes and actions of the Association. When you participate in the activities developed through this website, but also generally by the Association, we consider that you agree to the collection and use of information in accordance with this Privacy Policy. However, in special cases of processing your personal data, by the Association, we will explicitly ask you to give us your consent.

2) The Association ensures the legitimate and legal collection and processing of personal data. When completing and submitting the electronic contact form by the Data Subject, which may be available on our Website, Data Subject fills in its name, email address and contact telephone number.

3) We use your personal data to communicate with you: To communicate with you by email, phone calls, SMS or other equivalent forms of electronic communication, informational communications related to functions, products or Systems under contract, including security updates, when is necessary or reasonable for their implementation.

What data do we collect?

What you give us during your registration form (name, country, address, telephone, e-mail address, occupation), which we will use based on your contractual status as a member of the Association for:

(1) your participation in the elections and other statutory procedures of the Association,

(2) communicating with you regarding your participation in action groups;

(3) informing you about Association events and actions,

(4) the documents submission related to your obligations arising from your participation in the Association,

(5) your inclusion in Association members lists.

Maintenance of your Personal Data

The Association will keep your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy and its Articles of Association. We will retain your Personal Data to the extent necessary to comply with our legal obligations, resolve disputes, and enforce our legal agreements and policies.

The Association will also retain Usage Data for internal analysis purposes. Usage Data is generally retained for a shorter period of time, unless such data is used to enhance security or improve the functionality of our System, or we are legally required to retain
such data for longer periods of time.

Members Area

On the website there is a separate link for members named “members area”. In this link, the members of the Association, who wish to have their information available and visible, appear. The collection of personal data of the members of “members area” has as its legal basis the consent of the data subject. For this to happen, members have expressly given their consent, in a special form, stating at the same time (that) they have been informed of the Privacy Policy, and also of special conditions described in this
chapter.

The Association is responsible for ensuring that the data subjects give their consent freely, with a positive action, expressly and fully aware received knowledge of the content of the text to which they consent. Personal data must be processed only for the purpose for which it was originally collected.

Only members of the Association who have completed the relevant form and are members of “members area” have the right to enter
and use the link area. Members who have access to “members area” have the obligation to use the personal data of the other members in a way that is consistent with the Association’s purposes.

Member of “members area” has the possibility at any time to be deleted from it (but not from a member of the Association). The Association provides data subjects with the possibility to withdraw their consent at any time. Addressing an e – mail to Association, justifying his decision.

Transfer (Transmission) of your Personal Data

The Association takes all reasonably necessary steps to ensure that your data is treated securely and in accordance with this Privacy Policy and that no transfer of your Personal Data will take place across an organization or country unless adequate controls are in place.

1) Your information, including Personal Data, is processed in Association operating offices. When this happens, we do our best to maintain a similar degree of security, ensuring that recipients give guarantees for the protection of personal data, which guarantees will be at the same level as European standards. These are:
(1) IT support management system System providers,

(2) professional advisors, such as lawyers, accountants, etc. We demand all such third parties, to whom we transfer your data, to respect the security of your personal data and to address it in accordance with the law, only allowing them to process your personal data on our instructions, following relevant data processing agreements.

Data Subject has the right to know whether its personal data is or has been the subject of processing (right of access). Also, the Data Subject has the right to object in writing at any time to the processing of its personal data. The right of access and objection can be exercised by sending an email to iaeg.aigi@gmail.com from the email address through which the electronic contact form was submitted, in order to ensure the identity of Data Subject.

Communication with the Personal Data Protection Authority

In the event that the Data Subject considers that the protection of its personal data is infringed in any way, it may appeal either to the French Authority for the Protection of Personal Data or to the Local Authority of the state in which it is based. Before it does so, we advise, to first contact the Association and state the reasons it wishes to complaint, in order to comprehend and satisfy its
request.

Changes to this Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page. We will notify you by email and/or a prominent notice on our website, before any change becomes effective and will update the
“Last Updated” date at the top of this Privacy Policy. We encourage you to periodically preview this Privacy Policy for any changes. Changes to this Privacy Policy are effective when posted on this page.
